ride like a local, ride the dreamland

1. Overview

This cycling trip is organized as a private group experience among friends, coordinated by Matteo Pollani (“the Organizer”). It is not a commercial or for-profit tour. All expenses are shared equally among participants to cover accommodation, transport, logistics, and related trip costs.
The purpose of this document is to make sure all participants understand how the trip is organized, what is included, and the level of personal responsibility required when joining.

2. Group Commitment & Payments

To secure your spot, a deposit is required once all group members confirm participation. This allows the Organizer to confirm bookings (such as accommodation, vehicle rental, and support services).
Final payments will be collected before the trip to complete shared costs. Since reservations are made in advance and costs are divided among participants, commitment is essential. If someone cancels, it may affect the overall cost per person for the rest of the group.

3. Cost Sharing

All costs are shared equally among participants. These include:

  • Accommodation and breakfasts
  • Vehicle hire and fuel
  • Group transfers
  • Selected meals and common expenses (as agreed by the group)
  • Support vehicle and guide expenses, if applicable

Costs do not include flights, personal insurance, personal expenses, extra meals, or drinks. A full cost breakdown will be communicated before final payment, and any balance differences due to group changes will be transparently shared.

4. Cancellation Policy

If you need to cancel your participation:

  • Deposits are generally non-refundable, as they go toward securing shared bookings.
  • If you cancel after full payment, refunds can only be provided if a replacement participant is found or if suppliers refund unused services.
  • Any non-refunded expenses will be divided among remaining participants.

We strongly recommend comprehensive travel insurance that covers trip cancellation and medical emergencies.

5. Personal Responsibility

Each participant joins voluntarily and acknowledges that cycling involves inherent risks, including accidents, weather conditions, and road hazards. Everyone rides at their own responsibility and fitness level.
The Organizer is not a professional tour operator and does not assume liability for injury, loss, or damage. Participants are expected to follow road safety rules and local laws at all times.

6. Travel Documents & Insurance

Participants are responsible for ensuring they have valid passports, visas (if required), and travel insurance covering medical care, accident, and trip cancellation. Proof of insurance may be requested before departure.

7. Flexibility & Changes

As this is a private group trip, minor changes may occur (such as adjustments to routes, timing, or accommodation) due to weather or local conditions. Any changes will be discussed and agreed within the group when possible.

8. Acceptance of Terms

By joining the trip, you confirm that you understand this is a non-commercial, cost-sharing arrangement among friends. You agree to respect the shared nature of the experience, contribute to group decisions in good faith, and accept the responsibilities outlined above.
